  • We collect the minimal data needed to run the service: contact details, job-match information, and basic site analytics.
  • No selling of personal data, ever. Data is shared only with trusted service providers or where law requires.

  • Cookies are limited to essential and analytics functions. You may block them in your browser settings.

1. Scope

This Policy applies to visitors of scouttalented.com, applicants and candidates who use our application platform at apply.scouttalented.com (and any other Talented-operated subdomains), prospective clients, and anyone who otherwise interacts with our recruiting platform, forms, assessments, or communications.

2. Data We Collect

2.1 Information You Provide

  • Identity and Contact: your name and email address.
  • Application Context: the role you’re applying for, your experience level, your employment status (e.g., currently employed, available), and how you heard about us.
  • Résumé and Work History: the résumé file you upload, the text we extract from it, and the AI-generated summary and skills analysis we produce from it.
  • Assessment Submissions: your responses to written and multiple-choice scenario assessments; the audio you record for English-language tests (along with the transcripts and scores we generate from them); the screenshot, input value, and OCR result of the internet-speed test you complete; and the video responses you submit (along with the transcripts, AI evaluations, audio-quality metrics, and setup-quality assessments we generate from them).
  • Additional Information Shared in Recordings: you may verbally share other information in your audio or video responses (for example, salary expectations or details about prior roles); we collect that information only as part of the recording.

2.2 Information Collected Automatically

When you browse our sites we log IP address, device and browser type, pages viewed, and time on page. We use your IP address to infer your approximate country of residence via a third-party geolocation service (ip-api.com) so we can show region-appropriate content and route applications. This helps secure the sites and understand performance trends.

3. Cookies, Pixels, and Similar Technologies

We place a small number of cookies and tracking technologies for:

  • Essential Functions: authentication, session management, site security, and load balancing.
  • Analytics: aggregate traffic statistics and product performance.
  • Marketing and Conversion Measurement: we use the Meta Pixel and the Meta Conversions API (Facebook/Instagram) and the LinkedIn Insight Tag to measure the effectiveness of our advertising and to reach similar audiences. These tools may set cookies and transmit hashed identifiers (such as email address) and event data (such as page views, application starts, and application submissions) to Meta and LinkedIn, who act as independent or joint controllers of that data under their own privacy policies.

We do not run a cookie banner outside of jurisdictions that legally require one. You can manage or block cookies anytime in your browser preferences or by using built-in “Do Not Track” settings. You can also opt out of personalized ads directly with Meta and LinkedIn through their advertising-preferences settings.

4. How We Use Data

  • Operate and improve our recruiting services.
  • Match applicants with suitable roles and present shortlists to clients.
  • Communicate with you: confirmations, updates, and marketing. Opt out anytime.
  • Comply with legal obligations and respond to rights requests.

4.1 Automated Processing and AI-Assisted Review

We use automated systems, including large language models and other machine-learning tools, to help process applications efficiently. Specifically, we may use these systems to:

  • Parse and extract structured information (skills, experience, location) from résumés you submit;
  • Score and rank scenario-based and written assessment responses against role criteria;
  • Transcribe and evaluate audio recordings submitted for English-language assessments;
  • Generate summaries and shortlist recommendations for our human recruiters.

A human recruiter reviews these outputs before any meaningful decision (such as shortlisting, rejection, or presentation to a client) is finalized; automated outputs are not the sole basis for those decisions. If you are in the EEA or UK and want to request human review of an automated decision, contact us at the address in Section 13.

5. Legal Bases (EEA/UK)

Our processing relies on contract performance, legitimate interests (such as service security and direct marketing), consent (where required), and legal obligation.

6. Sharing and Disclosure

  • Clients: applicant data is shared only with relevant clients and only after the applicant agrees.
  • Service Providers: we use vetted cloud, analytics, AI, and email vendors bound by confidentiality and security terms. Current key providers include Supabase (database and file storage, hosted in the United States), Vercel (application hosting), Brevo (transactional and marketing email), Anthropic and OpenAI (AI-assisted application review per Section 4.1), Meta and LinkedIn (advertising and conversion measurement), and ip-api.com (IP-based geolocation). The list of subprocessors may change from time to time; the categories above reflect the data flows you should expect. We do not currently process payments on this platform.
  • Regulators and Law Enforcement: when we believe disclosure is legally required or necessary to protect rights and safety.
  • Corporate Events: in a merger or acquisition, subject to this Policy.

We do not sell personal data, and we do not share personal data for cross-context behavioral advertising as those terms are defined under U.S. state privacy laws.

7. Retention

We keep data only as long as needed for the purposes in Section 4 and any legally mandated period. Applicant files are reviewed every 24 months and deleted or anonymised if no longer relevant.

8. Security

We employ encryption, access controls, multi-factor authentication, and regular security assessments. No online system is entirely fool-proof, but we act promptly on any identified risk.

9. International Transfers

Data may be processed and stored in the United States, the Philippines, and other locations where we or our service providers operate. Where required, we rely on Standard Contractual Clauses or equivalent safeguards.

10. Your Rights

Depending on your jurisdiction, you may:

  • Access, correct, or delete your personal data.
  • Request a copy of data you provided to us.
  • Opt out of marketing communications.
  • Object to or restrict certain processing.

11. Children

We do not intentionally collect data from anyone under 16. If we become aware of such data, we delete it promptly.

12. Changes to This Policy

We update this Policy from time to time. Material changes are posted here with a new “Effective” date. Continued use of our site or services indicates acceptance of the revised Policy.
